Creating and Managing Equipment Pieces

Equipment is an optional, customizeable cost to associate with your proposals. They can be set up as individual Pieces like Dump Trailers, etc. or as a group charge such as 'Asphalt Hourly Equipment Rate.'

Navigating the Equipment Pieces Screen

Step 1: Within the Organization Equipment Pieces screen, all added equipment pieces are displayed. Information for each piece is tabulated via various columns that include Name, Rate, Charge Type, Fuel Surcharge, and Percentage.

Step 2: You can search for a specific equipment piece using the search bar at the top-right corner of the grid.

Step 3: By default, 10 records are displayed per page. However, you can set it to 25, 50, or 100 using the dropdown at the top-left corner of the grid.

Creating an Equipment Piece

Step 1: Click the button. Doing so opens the Create Equipment Piece screen.

Step 2: Here, enter the name of the equipment piece in the Name field.

Step 3: Use the Charge Type dropdown to select whether this piece of Equipment billed by Full or Half Day, Hourly, or by Mileage.

Step 4: Use the Rate field to enter the Rate of the equipment piece. 

• Hourly: input the Hourly Rate at which this piece of Equipment is billed.
• Mileage: input the rate billed per mile traveled. Mileage is calculated automatically in the proposal from the Primary Address to the Job. 
• Half Day/Full Day: If my Average Working Hours from my Organization settings are set to 10 hours, a half day would be considered 5 hours. So, if my equipment runs at a rate of $450 per hour and I bill for a Half Day (5 hours), that equals $2250 for a Half Day charge (450 x 5 = 2250).
  • Full/Half Day charges ROUND UP. 
  • For example: If I'm charging Half Day and my On Job Time was 3 hours, Bitumio will round to the next Half Day (5 hrs as in the example above). If I was billing for Full Day, the total would round to 10 hours.

Step 5: Complete the Fuel Surcharge field if you want to include a fuel upcharge. If no Fuel Surcharge is desired, leave this as 0. 

Step 6: Enter the on job use rate percentage in the On Job Use Rate % field. Many pieces of equipment are only used during a small portion of the overall job. For example, a skid steer on an asphalt patch may only be used for 1 hour of a 5 hour job, or 20% of the time. We can account for this in the proposal by entering the percentage use rate in this box.  

• If the Equipment piece is only used for a portion of the time, enter the percentage in use in this box as a whole number. i.e. 20 for 20%
• The proposal will automatically calculate the Equipment use in hours based on this input. For example, if a job is expected to be 5 hours and this setting is 20%, the proposal will use 1 hour (5 * .2 = 1) to calculate the On-Job Cost for this piece of Equipment. 
• NOTE: Most Equipment stays at 100%, as they usually remain at the Job Stage for the full duration.

Step 7: Travel Time, or mobilization time, is on by default. With the slider on, Travel Time to the Job will be included in the Costs for this equipment piece.

Toggle the Calculate Travel Time slider 'Off' to remove the charge and strictly bill for On Job time.

Step 8: Once the required selections are made, click the button.

Updating an Equipment Piece

Step 1: Click the name of the equipment piece you want to update. Alternatively, you can click on the  icon in the Actions column, and choose 'Update.' Either path takes you to the Update Equipment Piece screen.

Step 2: Once you have completed the desired modifications, click the button.

Deleting an Equipment Piece

Step 1: Click the icon located under the Actions column to reveal a list of options. From these options, click 'Delete.'

Step 2: After selecting Delete, a confirmation window will ask you to confirm that you want to delete the selected Equipment Piece. Click  to confirm.
